How to Set Up a Voice Command Shortcut for Claude Desktop
Setting up a Claude Desktop voice command on my Mac lets me talk to Claude and get results in seconds. It’s changed how I interact with AI more than any single feature update. The shortcut is Option + C. I press it, say what I want, and Claude does the work.
Recently, I used it to extract a rent roll from an offering memorandum and build an Excel file. The whole thing took about 30 seconds. Here’s how to set it up yourself and start using voice commands with Claude Desktop.
Why Voice Commands Matter for CRE Workflows
Most people interact with Claude by typing prompts into a chat box. That works fine. But voice commands add two advantages that typing can’t match.
1. Speed
Talking is faster than typing—especially when you’re describing what’s on your screen.
Instead of typing:
“Please extract the rent roll from this PDF and organize it into an Excel spreadsheet with unit numbers, tenant names, lease dates, and monthly rent.”
You just say it.
That takes about 5 seconds.
2. The Screenshot Combo
When you use Claude Desktop’s voice shortcut, you can send a screenshot of whatever’s on your screen along with your voice command.
Claude reads:
-
Your spoken instruction
-
The screenshot itself
That means:
-
No uploading files
-
No copy-pasting text
-
No explaining what you’re looking at
You just show it. For CRE professionals spending hours extracting data from OMs, P&Ls, and rent rolls, this combo saves real time on every single deal.
Step-by-Step: Setting Up the Voice Shortcut
This is the exact setup I use on my Mac. Total time: about 2 minutes.
Step 1: Install Claude Desktop
If you don’t already have it, download Claude Desktop from Anthropic’s website. You need the desktop app for voice commands. The web browser version doesn’t support this feature.
Step 2: Set Up the Keyboard Shortcut
On Mac, go to:
System Settings → Keyboard → Keyboard Shortcuts
Assign a global shortcut that triggers Claude from anywhere on your computer. I use Option + C, but choose whatever feels natural. The key is picking a shortcut you can hit without thinking.
Step 3: Configure the Voice Input
Once the shortcut is set:
-
Press it
-
Claude Desktop opens
-
Voice input is ready
At the top left, you’ll see the option to “send screenshot” along with your voice command.
Step 4: Test It
-
Open any document on your screen
-
Offering memorandum
-
Rent roll PDF
-
P&L statement
-
-
Hit your shortcut
-
Say something like:
“Please extract the rent roll here and put it into an Excel file.”
-
Click Send Screenshot
-
Hit Send
Claude reads the screen, processes the instruction, and builds the output. On a 7-unit property, I got results before I finished explaining what I was doing.

Real-World Use Cases for CRE Professionals
Rent roll extraction is just one example. This same voice + screenshot workflow works for a lot more.
P&L Extraction
-
Open a P&L on screen
-
Say:
“Extract this P&L into Excel with line items by category.”
-
Send the screenshot
-
Done
Lease Abstracts
-
Open a lease document
-
Say:
“Pull the key terms from this lease into a summary table.”
-
Claude reads the page and builds the abstract
OM Data Pulls
-
Open an offering memorandum
-
Say:
“Extract the property details, financials, and unit mix from this page.”
Works on:
-
Single pages
-
Multi-page documents
Portfolio Analysis at Scale
This is where it really clicks.
-
7-unit property → seconds
-
300-unit deal → a bit longer
Same shortcut, same voice command and same process.
Just more data.

Tips for Getting Better Results
After using this daily for a few weeks, a few things make a big difference.
Be Specific With Your Voice Command
“Extract the rent roll” works.
But this works better:
“Extract the rent roll with unit numbers, tenant names, square footage, lease start dates, lease end dates, and monthly rent into an Excel file.”
Specific instructions = fewer follow-ups.
Use Claude’s Skills Feature
I set up a skill that tells Claude how I want Excel files formatted.
When I trigger the voice shortcut:
-
Claude reads the skill automatically
-
Knows exactly how to structure the output
It takes some upfront setup—but saves time every single use.
Send Clean Screenshots
Make sure the document is clearly visible on your screen.
If the text is tiny or zoomed out:
-
Results won’t be as clean
Zoom in on the section you want extracted before sending the screenshot.
The Bottom Line
Setting up a voice command shortcut for Claude Desktop takes about 2 minutes.
After that, you can:
-
Extract documents
-
Build spreadsheets
-
Automate repetitive CRE tasks
All by talking to your computer.
I use this multiple times per day:
-
Rent rolls
-
P&Ls
-
Lease data
-
Property details from OMs
Same shortcut. Same process. Different documents.
